About the Role:
The Editorial Coordinator will play a critical role in ensuring the integrity, accuracy, and consistency of manuscripts accepted for publication across our high volume, ABP titles. This position involves supporting editors, authors and reviewers with administrative tasks, coordinating the final stages of manuscript review, verifying compliance with journal standards, and facilitating communication between authors, editors, and production teams. The coordinator ensures that all submission elements meet the journal’s formatting, ethical, and reporting guidelines before publication.
Responsibilities:
Key responsibilities (pre-acceptance)
• Be a primary contact for members of the editorial team and assisting with editorial requests, including (but not limited to) maintaining our electronic submission database, assigning papers, releasing decisions, making changes to manuscripts, uploading documents and helping with reviewer tasks.
• Monitoring journal mailboxes which include answering enquiries from authors, editors, reviewers and the public. This will require awareness of the confidential nature of the peer review process.
• Administrative stakeholder's payments for the journals. Troubleshooting with payees and Elsevier payment department to ensure timely payment.
• Provide support with holiday and absence cover.
Key responsibilities (at acceptance)
• Conduct thorough manuscript checks for completeness, formatting, and adherence to journal style and guidelines.
• Confirm acknowledgements, author statements, ethical approvals, funding disclosures, conflict of interest statements, and permissions are properly documented and archived
• Review figures, tables, and supplementary materials for accuracy, clarity, and compliance with technical standards.
• Ensure reporting standards and checklists (e.g., CONSORT, PRISMA, ARRIVE) are followed and properly documented.
• Cross-verify author contributions, declarations, and data sharing statements for accuracy and completeness.
• Communicate with authors, editors, and production teams to resolve issues and facilitate smooth manuscript progression.
Requirements:
• Have a BSc in biological or related science degree level is required.
• 1-3 years of experience in publishing industry.
• Strong English language skills, with sound communication and interpersonal skills.
• Must be able to work independently but also be an excellent team player willing to adapt to the needs and requirements of a busy department.
• Strong organisational skills. A can-do approach to work and an interest in medical publishing. Good analytical and problem-solving skills.
• A customer and people focused approach is essential.
• Must be able to demonstrate a proactive and flexible attitude, with a keen willingness to show initiative.
• Have good IT skills and proficiency in Microsoft Word
